How Action Behavior Centers scaled therapy operations for 5,000+ users across 400+ clinics – without scaling their development costs

Extreme dependence on dozens of disconnected files

Action Behavior Centers provides ABA therapy for children with autism across more than 400 clinics in eight states. As the organization grew, so did its dependence on spreadsheets – dozens of disconnected files tracking patients, employees, recruiting pipelines, and clinical compliance.

The core data lived in Salesforce, but every operational process layered on top of it relied on manual spreadsheet management. The result was fragmented data, inconsistent inputs, and no way to produce reliable reporting at scale.

Shanky Balani, VP of Business Intelligence, described the turning point:

"As we scaled, as we grew, we determined that was no longer a scalable approach. So we started researching application platforms."

The organization needed a centralized system that could connect to Salesforce, replace their spreadsheets, and give both clinical and recruiting teams a structured, reportable workflow – without requiring a large engineering team to build and maintain it.

Why UI Bakery

Results

Action Behavior Centers evaluated several platforms before choosing UI Bakery, including Titan (a no-code builder that sits directly on Salesforce) and Retool.

The decision came down to three factors:

  • Unlimited user pricing: with over 5,000 users in their system, per-seat pricing would have made any other platform cost-prohibitive
  • Flexibility and low-code capability: unlike Titan's fixed no-code backend, UI Bakery allows JavaScript customization and connection to any data source
  • Breadth of integrations: Titan was Salesforce-only; UI Bakery supports SQL, BigQuery, REST APIs, Gmail, and more

Tianyi Yu, Enterprise Manager and the primary builder at Action Behavior Centers, explained the technical preference:

"UI Bakery is low code – you can use JavaScript and connect to other data sources to customize the things we want. Titan is a no-code platform, so everything is fixed on the back end."

What They Built

Clinical Case Review Application

The first app built in UI Bakery replaced a manual spreadsheet-based compliance workflow. Clinical directors now use it to assess patient outcomes against therapy and compliance metrics – tracking scores across multiple fields and generating PDF documents that are saved directly into patient files via a third-party PDF API integration.

Primary users: clinical directors, regional clinical directors, and compliance managers across 400+ centers.

Recruiting Application Tracker (RAT)

Off-the-shelf recruiting tools handled job postings and basic interview tracking – but couldn't capture the industry-specific data Action Behavior Centers needed: tier-level supervision requirements, background check workflows, offer acceptance tracking, and ABA-specific candidate fields.

The RAT application was built to fill this gap. It integrates directly with Salesforce to store all candidate data and triggers automated email notifications. It also enables the analytics team to pull structured reporting that feeds staffing forecasts – helping the organization avoid overstaffing while keeping up with patient demand.

Shanky described the downstream impact:

"The data being captured in the system is used by analytics teams to determine forecasts and staffing ratios – to ensure we're not overstaffed, and that we can onboard patients as quickly as possible."

System Integrations

UI Bakery acts as the integration layer connecting their operational apps to the broader data ecosystem:

  • Salesforce (pre-built connector) – core CRM and candidate data
  • SQL database (pre-built connector) – internal data
  • Google BigQuery – analytics data warehouse
  • REST APIs – geocoding, third-party background check system, Paycor (HR)
  • Gmail – automated candidate communications
  • Third-party PDF generator – clinical document generation

Development Timeline and Process

Complex applications like the clinical case review and the RAT took approximately three to four months from concept to production. A significant portion of that time was not technical – it was cultural.

Moving users from freeform spreadsheets to structured data input required change management, training, and iterative refinement based on frontline feedback. The team used an agile approach: build, release, collect feedback, improve.

Apps also evolve over time due to regulatory changes from governing compliance bodies. UI Bakery's low-code flexibility has allowed Action Behavior Centers to manage multiple regulatory versions within a single application – collecting new data under updated rules while preserving historical data from previous frameworks.

"Due to the low-code capabilities and flexibility, we've been able to maintain an app with multiple regulations over time – showing historical data and capturing new data under the new rules."

Results

Results
  • 5,000+ users managed under a single unlimited-user plan
  • 400+ locations across 8–9 states using centralized apps
  • Dozens of disconnected spreadsheets replaced with structured, integrated applications
  • Structured recruiting data now feeds staffing forecasts, reducing overstaffing costs
  • Multiple regulatory versions maintained in a single application
  • Complex apps built in 3-4 months with agile iterations, no dedicated engineering team

In Their Words

"Anyone who's trying to streamline processes in a cost-efficient manner, with the ability to integrate various systems – I'd recommend UI Bakery to them. It's flexible, it's powerful, it's efficient, and great people to work with."

Shanky Balani, VP of Business Intelligence

"If you want to shift from spreadsheets to somewhere that you can centralize the system into one place, then UI Bakery is your go-to."
